Create a Plan
Connect with your peers, relevant committees, and/or fosbchair@gmail.com with questions, ideas, or enthusiasm for coordinating an activity or event.
Save the Date & Reserve Space
For an off-campus activity or event, simply email fosbactivities@gmail.com to confirm there are no potential conflicts with the school calendar.
For an on-campus activity or event, please complete this room reservation request form for school space at least 21 business days prior to your activity or event. We will confirm there are no potential conflicts with the school calendar and then submit an official room reservation through the school system.
Coordinate Free Onsite Childcare (If Applicable)
For an on-campus and adult-only activity or event, we can help you coordinate offering your participants free childcare for potty-independent children through the onsite Salmon Bay Boys & Girls Club. Please indicate your interest in childcare when prompted filling out the room reservation request, and a volunteer coordinator will reach out with details.
Confirm Budget
If applicable, connect with your relevant committee(s) and fosbtreasurer@gmail.com to inquire about funds available to support expenses associated with your activity or event.
Gather Supplies & Keep Receipts
We maintain on-campus Resource Closet stocked with basic supplies to support many FOSB- and school-related activities (e.g. coolers, water carafes, folding tables and chairs, arts & craft supplies, plates, cups, utensils, napkins, serving ware, tablecloths, centerpieces, tea lights).
Please check this closet before purchasing event supplies; keep the room tidy and take care of the goods within; and replace/replenish supplies once finished to support future activities. If purchasing new supplies, please keep your receipts to submit with your reimbursement request (see below).
The closet is located in the cafeteria kitchen. To access the closet, please sign into the front office as a “Visitor” for FOSB and ask Lara Cowles, the Volunteer Coordinator, for a key to the room. Please keep the room tidy and take care of the goods within. When done, please turn off the lights, lock the door, and return the key to the front office.
Promote Your Event & Get Volunteers
FOSB maintains a free Sign-up Genius and Canva Premium account for all to create, modify, and store volunteer and promotional materials. Email fosbactivities@gmail.com for access.
Send final promotional information (written blurb with any links and image in JPG or PNG form) to fosbcomms@googlegroups.com and relevant teachers/staff to kindly ask them to include in their weekly communication channels.
Also, don’t forget to print flyers and post around campus!
Audio-Visual Tips for the Auditorium
- Refer to this document for exact set up steps.
- Requirements: laptop with HDMI and headphone jack.
- Recommendation: Download content ahead of time. WiFi in the Auditorium can be spotty.

Host Responsibly & Enjoy
We ask that all organizers and attendees do their best to act with care for the people and property associated with FOSB-related activities and events, whether they are hosted on- or off- campus. For an on-campus activity or event, please also honor the additional responsibilities noted below. And, most of all…ENJOY!
- All participants must enter/exit the school building through the doors on 18th Avenue between 65th and 67th Street. Approved event details are visible to all staff on their district calendars. Custodial staff keep all doors locked until just before event setup, and then keep them unlocked throughout the event. If you arrive and the 18th Avenue doors are not unlocked, there is a phone number on the door to reach the on-site custodial staff. While they often answer right away, sometimes they are indisposed – please be patient and try again. Once you are done with event cleanup, please notify the custodial staff so they may lock the doors again.
- If children are attending the event, they must be accompanied by a responsible adult.
- All adult and children attendees must remain in the reserved space during the event with access to the nearest bathrooms and water fountain. Attendees are not permitted in spaces outside of event purview, such as classrooms, behind stage, and other floors.
- Event space and bathrooms must be restored to their original condition. This may include, but is not limited to, picking up/putting away all items taken out, taking trash and recycling out to the bins, cleaning up the floors, and restoring tables, chairs, etc. to their original position. The custodial staff can offer cleaning supplies, such as extra trash bags and brooms/mops, as needed.
